Customizing the Color Palette Is the First Step to Making an on-brand PowerPoint Template.
No matter what kind of deck you’re creating, your template should make it easy for you (and your team) to stay consistently on-brand.
A gorgeous, well-designed color palette can help reduce the amount of design decisions you have to make while creating slides. Wasting time wondering what colors to use results in randomness from deck to deck. And, it wastes time people should be spending on visualizing insights–rather than spending hours checking Google Images for design inspiration!
All of the colors you need to brand slides are packaged inside your Insights Template Shop PowerPoint template. And you can update them with a single click in PowerPoint.
Even if your company doesn’t have a brand identity per se, you can choose from our wide range of color palettes to capture the look and feel you want clients to experience.
Your decks are your hard work and deep thinking made tangible. When you send them out into the world, they represent you.
In this video tutorial, I’ll show you how to install color palettes into your new PowerPoint template so you can create effective, impactful designs for everything inside your business.

How to Install Color Palette (XML) Files Into PowerPoint
Adding a custom color palette to your PowerPoint presentations can really help in maintaining a consistent and professional look, especially if you're working on corporate presentations or branding projects. This comprehensive guide will walk you through the process of installing color palette (XML) files into PowerPoint, step-by-step.
Step-by-Step Installation Guide
1. Locate and Copy Your XML File
First, locate the XML file with the color palette you downloaded.
Next, we'll copy and paste this file into the folder we're going to open in the next step.
2. Open the Theme Colors Folder
This is the folder on your computer where theme colors are stored for PowerPoint.
Open the folder below corresponding to your computer's operating system and/or version of Office:
For Windows 7:
OPTION 1
C:\Program Files or Program Files (x86)\MicrosoftOffice\DocumentThemes 15\Theme Colors
OPTION 2
C:\Program Files or Program Files (x86)\Microsoft Office 15\root\DocumentThemes 15
Office 365, 2019, or 2016 for Windows
OPTION 1
C:\Users\ YourUserName\AppData\Roaming\Microsoft\ Templates\Document Themes\ Theme Colors
OPTION 2
C:\Program Files\Microsoft Office\root\Document Themes 16\Theme Colors
For Mac:
The path usually looks like this:
Office for Mac 2011
Macintosh HD/Users:YourUserName/Library/Application Support/Microsoft/Office/User Templates/My Themes/Theme Colors
Office 365, 2019, or 2016 for Mac
Users/YourUserName/Library/Group Containers/UBF8T346G9.Office/User Content/Themes/Theme Colors
Pro Tip: On OS X, the user Library is hidden by default. To open it, hold down the Alt key, while clicking on the Go menu and choosing Library.
Pro Tip: On both Windows and Mac OS, you can also search Theme Fonts, Theme Colors or Document Themes in your hard drive (System) until you find the file location for Theme Colors.
3. Copy the XML File
After you have found the destination folder, follow these steps:
- Copy the XML File: Select your downloaded XML file and copy it.
- Go to the Theme Colors Folder: Navigate to the theme colors folder you identified earlier.
- Paste the XML File: Paste the XML file into the folder.
4. Open PowerPoint and Apply the Palette
Now, open PowerPoint. If it's already open, you might need to close it completely and then reopen it. Here’s how to apply the new color palette:
- Open PowerPoint: Launch your PowerPoint application.
- Access Slide Master: Go to
View>Slide Master. - Select Colors: Click on
Colors, and you should see the name of your new color palette in the menu. Select it. - Since the menu is alphabetized, you might have to scroll down a bit to find your new palette.
“You should see the name of your new color palette in the menu.”
Pro Tip: If you don't see it, double-check that the file was copied to the correct location and that PowerPoint was restarted after adding the XML file. You may need to restart your computer.
5. Make Adjustments
You might need to adjust some of the colors on various layouts and example slides.
- Access Each Layout: Navigate through each slide layout in the Slide Master view.
- Adjust Colors: Modify the background, text, and elements to match your desired colors.
Remember to adjust colors on all layouts to maintain consistency.
